How an OSHA Inspection Works
Opening Conference
The compliance officer presents credentials, explains why OSHA is there (a complaint, an incident report, a referral, or a programmed inspection), and describes the scope of the inspection.
Walkaround
The inspector tours the areas in scope, observes conditions, takes photos and measurements, and may interview employees and supervisors.
Document Review
OSHA may request your written safety programs, training records, OSHA 300 logs, and other documentation.
Closing Conference
The inspector reviews apparent violations and explains your rights and next steps. Citations, if any, arrive later by mail, within six months of the alleged violation.
What OSHA Inspection Representation Includes
Guide you from the start
We explain your rights and responsibilities and help you prepare for the opening conference.
Accompany the walkaround
We observe what the inspector observes and help you document the same conditions.
Organize your records
We help you provide accurate, complete documentation from your written safety programs and training records.
Correct hazards on the spot
Fixing a hazard right away shows good faith and protects employees.
Responding to an OSHA Citation
If you receive a citation, the clock starts. Employers generally have 15 working days from receipt to contest a citation, penalty, or abatement date, or to settle it through an informal conference. We help you:
- Understand each citation, the standard cited, and the proposed penalty.
- Gather evidence and records that support your position.
- Plan and document abatement of each cited condition.
- Decide whether an informal conference or a formal contest is the right path.
OSHA Informal Conference Representation
An informal conference (often called an informal hearing) is a meeting with the OSHA Area Director to discuss citations before the 15-working-day contest period ends. It’s often the best opportunity to:
Present facts the inspector may not have considered
Show abatement already completed
Request penalty reductions or changes to classifications or abatement dates
Reach an informal settlement agreement
We prepare your case, attend the conference with you, and help you follow through on any agreement. For formal contests before the Occupational Safety and Health Review Commission, we work alongside your attorney. The Safety Pro Group is a safety consulting firm, not a law firm.

Be Ready Before OSHA Arrives
The best inspection is one you’ve prepared for. Our jobsite safety audits and mock OSHA inspection service find the problems first. A documented accident and incident investigation shows OSHA you take incidents seriously. See all of our workplace safety services.
What should I do when an OSHA inspector arrives?
Be professional and cooperative. Ask to see the inspector’s credentials, ask why OSHA is there, and call us right away. Keep accurate notes of what the inspector looks at and requests.
How long do we have to respond to an OSHA citation?
Generally 15 working days from the date you receive it. If you don’t contest or settle within that window, the citation and penalty become final.
Can OSHA penalties be reduced?
Often, yes. OSHA may reduce penalties based on company size, good faith, history, and prompt abatement. An informal conference is a common way to discuss reductions.
Do I need a lawyer for an OSHA citation?
Many citations are resolved through an informal conference without one. For a formal contest, or when serious, willful, or repeat violations are involved, we recommend working with an attorney, and we’ll support them with the safety expertise.
